Refund policy
This Refund and Cancelation Policy governs the terms and conditions regarding refunds, credits, cancelations and booking transfers, for services provided by Elsewhere on Wheels ("Elsewhere on Wheels," "we," "us," or "our"). By engaging with our services, you agree to the refund policy stated below.
1. Bookings and Payments
1.1 Payments: Full payment for our services is required in advance of access to our services. For tours, a 10% deposit is to be made on the website at the time of booking, or you may elect to pay in full at the time of booking by selecting this option. Where a booking is made by way of a deposit, you will be issued an invoice for billing of the remaining portion of the service fee owing, to the email address provided at the time of booking. We reserve the right to modify our pricing at any time.
1.2 Transaction Fees and GST: Any applicable transaction fees or Goods and Services Tax (GST) will be clearly communicated and visible at the time of checkout, where full and final payment is to be made by the customer.
2. Eligibility
2.1 Transferring Bookings for Tours, Classes, Courses, and Coaching Sessions: Bookings for tours, trips, classes, courses or coaching sessions (hereafter referred to as “event”) are not transferrable to persons other than those who are named as the attendee at the time of making the booking. Requests to move bookings to a different time or date will be accommodated where a request is made at least 30 days prior to the scheduled event, subject to availability.
2.2 Cancelations, credit and refund request periods: Requests for cancelation may be made up to 30 days prior to the scheduled event for issuing of a refund, however a 10% deposit is non-refundable. 100% of the event fee is non-refundable for cancelations made within 30 days of a the planned event date. Any cancellations made within 30 days of the scheduled event, including failure to attend, are not eligible for a refund.
2.3 Availability of services for transfer of bookings to a different time or date: We try to accommodate requests to change bookings to a different time or date where possible, however places at events are limited and options to change bookings may not be available. Transferred or credited bookings must be used within 12 months. We are unable to transfer bookings with less than 14 days notice.
2.4 Partial cancelation of multi-session training courses: Where a cancellation request is made part way through a multi-session course, the total fee is non-refundable. Where part of a multi-session course is not attended, these missed sessions are non-refundable. Alternative arrangements may be made to transfer bookings for any missed sessions of a multi-session course to the next available session of the same type as the missed session, subject to availability.
2.5 Refund or credit: Where a cancelation and refund is approved, the refund is provided back to the original payment source, or issuing of an electronic credit may be granted. Any credit must be used within 12 months of the date of issue.
2.6 Minimum quotas: To ensure the successful operation of our events (including but not limited to tours, trips, group classes, or clinics) we require a minimum number of participants. Elsewhere on Wheels, including any contracted businesses, staff, or constituents gives no guarantee that minimum quotas will be met at the time of booking. In the event that the minimum participant quotas are not met, the affected service or event will be cancelled. For international events, customers will be notified of the cancellation no less than 14 calendar days prior to the scheduled event date. For domestic (Australian) events, customers will be notified of the cancellation no less than 48 hours prior to the scheduled event date. All customers will be entitled to a full refund of any payments made to Elsewhere on Wheels in relation to the cancelled event. Refunds will be processed within 7 days of the cancellation notice. Elsewhere on Wheels, including any contracted businesses, staff, or constituents shall not be liable for any loss or damages, direct or indirect, incurred as a result of the cancellation of any service or event due to the failure to meet minimum quotas. This includes, but is not limited to, any costs incurred for travel arrangements, accommodations, or other related expenses.
2.7. Elsewhere on Wheels, along with any contracted businesses, staff, or constituents, hereby assert the authority to modify trip routes, distances, waypoints, as well as start and finish points as deemed necessary to ensure the safety of the group and to comply with designated timelines. Elsewhere on Wheels expressly disclaims any representation regarding the specific routes undertaken and disavows liability for losses incurred as a result of route alterations stemming from rider conditions, injuries, Acts of God, war, or other unforeseen events.
3. How to Request a Refund
3.1 Submission: Refund requests must be submitted in writing to admin@elsewhereonwheels.com clearly stating the refund request and providing relevant details such as the event date, invoice number and participant information.
4. Refund Processing Time
4.1 Timeline: Refund processing times may vary but generally take 3-7 calendar days from the date of receiving a valid refund request.
5. Non-Refundable Circumstances
5.1 Late Cancellation: Refunds or credits will not be issued for customer requests for cancellations received less than 30 days before the scheduled event.
5.2 Failure to Attend: Refunds, credits and transfers will not be provided for participants who fail to attend a scheduled event.
6. Exceptional Circumstances
6.1 Cancellation by Elsewhere on Wheels: In the event of unforeseen circumstances leading to event cancellation by Elsewhere on Wheels with prior notice, participants will be offered the option to reschedule (via issuing of a credit) or receive a full refund. Full or partial refunds are not issued where a rider’s participation in a tour, class, course or coaching session is cancelled partway through the delivery of the event due to weather, injury, inability or rider behavior leading to action by Elsewhere on Wheels to cancel a rider’s participation partway through an event. In these instances, Elsewhere on Wheels reserves the absolute right to cancel a rider’s participation during the course of an event, should unsafe behavior, injury, inability, or any other conditions related to safety be identified, at the absolute discretion of Elsewhere on Wheels. In these instances, full or partial refunds are not provided.
